Downloading and exporting
While we recommend sharing production files via portal links (so everyone always has the latest version), sometimes a client or vendor needs a PDF. Here's how downloading and exporting works.
Downloading individual documents
To download any document in your production file as a PDF:
- Open the production file
- Click the document you want to export
- Click the Download PDF button in the top right
- The PDF is generated and downloaded to your device
Each document is formatted for professional presentation — no ugly system fonts or broken layouts.
Downloading the full production file
To download all documents as a single PDF package:
- Open the production file
- Click Export in the top navigation
- Select Full Production Package (PDF)
- The system bundles all documents with a cover page and table of contents
- Download begins automatically
Large production files (11+ documents) may take 15-30 seconds to generate.
Export formats

Printing
Production files are formatted for print. For on-site reference:
- Run-of-Show Timeline — print on legal paper (landscape) for the clearest layout
- Staffing Plan — letter size, fits on 1-2 pages for most events
- Kitchen Prep Schedule — print multiple copies for your culinary stations
Version history
Every time you save changes to a production file, a new version is created. You can download any previous version from the Version History panel in the production file settings.
This means if a vendor asks "what did you send me last week," you can find and download that exact version.
