Inviting your team
Production is a team sport. The Middleman lets you collaborate with your team on every production file — without the version control chaos of shared Google Docs or emailed attachments.
Roles and permissions
The Middleman has three team roles:
Admin Full access to all production files, settings, billing, and team management. Typically the account owner and senior operations lead.
Editor Can create and edit production files, invite vendors, and share documents with clients. The standard role for coordinators and operations managers.
Viewer Read-only access to production files. Useful for clients, accounting contacts, or team members who need to stay informed but don't edit.
How to invite team members
- Go to Settings → Team in your dashboard
- Click Invite Team Member
- Enter their email address
- Select their role
- Click Send Invitation
They'll receive an email invitation with a link to create their account and join your workspace.
What happens when they accept
When a team member accepts your invitation, they're immediately added to your workspace. They can see all production files you've created (or that you've explicitly shared with them, depending on your access settings).
Guest access (coming Q3 2026)
We're building a guest access feature that lets you give clients, venues, or vendors a link to specific documents without requiring them to create a Middleman account. This ships in Q3 2026.
Team management tips
- Use the Viewer role liberally — the more people can see what's happening, the fewer status update emails you send
- Your Executive Assistant or office manager is usually a great Admin candidate — they handle billing and can manage team access when you're on-site
- Vendors should use the Viewer role or guest links (Q3 2026), not full team access
